1. Scope

This policy applies to information processed in connection with cortexsof.com and related marketing or product pages we operate, as well as business communications and project delivery for clients. It does not replace contract terms agreed in a statement of work (SOW), master services agreement (MSA), or data processing addendum (DPA).

• Contact & inquiry data — name, company, email, phone, project details and messages you submit through forms or email.
• Client & billing data — account contacts, invoices, payment references, and service subscriptions needed to deliver and support engagements.
• Technical data — IP address, browser type, device information, pages viewed and approximate location derived from standard web logs or analytics tools (if enabled).
• Project content — materials you provide for delivery (designs, credentials, datasets, copy, brand assets), handled under confidentiality obligations in our agreements.

3. How we use information

• Respond to inquiries and schedule discovery or sales conversations
• Deliver contracted services, support, hosting and maintenance
• Issue invoices, process payments and manage renewals

• Comply with legal, tax and accounting requirements

We do not sell personal information. We do not use client project data to train public AI models unless a written agreement expressly authorizes that use.

Depending on your location, we process information to perform a contract, comply with law, or pursue legitimate business interests such as securing our systems, preventing fraud and improving service quality — balanced against your privacy rights.

5. Sharing & processors

We keep information only as long as needed for the purposes described above — typically for the life of a client relationship plus a reasonable period for billing, audit and legal retention — unless a longer period is required by law or agreed in writing.
