Refund Policy

1. Custom development & project fees

• Before kickoff: If Client cancels in writing before we begin billable work and before any kickoff deliverables are produced, prepaid first fees may be refunded minus non-refundable third-party costs already incurred with Client approval.
• After kickoff: Fees for completed milestones or time already spent are non-refundable. Unused prepaid amounts for unstarted milestones may be credited toward a revised SOW or refunded at CortexSof’s discretion after deducting work performed and committed costs.
• Completed deliverables: Accepted milestones and shipped releases are non-refundable.

2. Retainers & support plans

Monthly retainers and support plans are billed in advance. Unused hours in a billing period typically do not roll over unless the SOW says otherwise. Mid-cycle cancellations generally do not receive pro-rata refunds for the current period once support access has been available, except where required by law or where CortexSof fails to provide the contracted support after notice and a reasonable cure period.

3. Hosting, domains & renewals

Hosting and domain fees paid to third parties or billed as annual renewals are often non-refundable once registered or renewed. If we can obtain a provider credit, we will pass it through. Early termination of hosting does not automatically refund the remaining prepaid term.

4. Software products & licenses

Standalone product purchases, license keys or SaaS subscriptions follow the refund terms stated at checkout or in the product agreement. Where no separate term is stated, digital goods are generally non-refundable after access is delivered, except for confirmed billing errors or duplicate charges.

5. Chargebacks

Please contact us before filing a payment dispute so we can resolve the issue. Unwarranted chargebacks may result in suspension of services and collection of amounts owed plus fees.

6. How to request a refund

1. Email support@cortexsof.com with your company name, invoice number and reason for the request.
2. Include relevant SOW references and dates of cancellation notice.
3. Allow up to ten (10) business days for review after we receive complete information.
4. Approved refunds are returned to the original payment method when possible.
